Uploading documents
Deal OS works with the documents you upload to an opportunity; external integrations aren't available today (no data-room sync, no CRM connector) — you add files directly.
How to upload
- Open an opportunity.
- Choose a file and a kind, then upload.
- The upload hint reads: "PDF, DOCX or text, up to 50 MB. Analysis usually takes under a minute."
Accepted file types: PDF, DOCX, TXT, MD, CSV. Maximum size: 50 MB per file. Document kinds: financials, legal, cim, tax, ops, other.
What happens after upload (extraction)
Each document moves through these statuses:
| Status | Meaning |
|---|---|
uploaded |
Received, queued for extraction |
extracting |
Text is being extracted and split into citable chunks |
extracted |
Ready — you can now run a brief |
needs_ocr |
The file is a scanned/image PDF with no extractable text layer |
failed |
Extraction errored (you can retry) |
You can run a brief once a document shows extracted.
Duplicate files
If you upload a file identical to one already in your workspace, Deal OS recognizes it (by content hash) and reuses the existing document instead of creating a duplicate.
Common messages
- Empty file:
empty upload - Too large: the file exceeds the 50 MB limit (
… bytes exceeds 52428800). - No analyzed documents yet (when running a brief): "No analyzed documents yet — upload a document and wait for extraction to finish (usually under a minute)."
Scanned PDFs (needs_ocr)
If a document ends in needs_ocr, the PDF has no machine-readable text (it's a scan/image). Scanned/image-only PDFs aren't processed automatically yet — re-upload a text-based PDF or a DOCX instead.
See Troubleshooting if a document fails to extract.
